Generate Document action in Zapier: mail merge Word templates into finished PDFs with PDF4me

· 15 min read
PDF4me Team

Generate Document is a PDF4me action for Zapier that performs a mail merge: it takes a Word, HTML or PDF template plus a JSON or XML data file and returns the filled document. A Zap can watch a folder, merge each record, and save every result without anyone opening Word.

Every mail merge tutorial you will find assumes a person is sitting in Word, clicking through a wizard. That works once. It does not work when a hundred invoices need generating on a schedule, or when the data arrives from a system rather than a spreadsheet on someone's desktop. This post covers the template syntax and the Zap that runs the merge unattended.

The flow at a glance
1. New File in Folder
Dropbox trigger watching the folder your data lands in.
2. Find File
Dropbox fetches the Word template from its own folder.
3. Generate Document
PDF4me merges the data into the template.
4. Create Loop From Line Items
Only needed when the merge returns many documents.
5. Upload File
Dropbox saves each finished document.

Convert HTML to PDF using Zapier: automate invoices from a Dropbox folder with PDF4me

Convert HTML to PDF is a PDF4me action for Zapier that turns an HTML file into a print ready PDF. Paired with Generate Document, a five step Zap watches a Dropbox folder, merges order data into an HTML invoice template, converts the result to A4, and saves the finished PDF back to Dropbox.

Most "convert HTML to PDF" results hand you a box to drop a file into. That is fine once. It stops being fine when a new order lands every hour and somebody has to open the converter, upload, download, rename, and file the result. This walkthrough replaces that loop with five Zapier steps that run on their own, with real screenshots from a Zap that ran on 02 November 2026 and the exact field values it used.

The flow at a glance
1. New File in Folder
Dropbox trigger watching /DocGen/Orders for a new order JSON.
2. Find File
Dropbox fetches invoice-template.html from /DocGen/Templates.
3. Generate Document
PDF4me merges the order JSON into the HTML template.
4. Convert HTML to PDF
PDF4me renders the merged HTML as an A4 portrait PDF.
5. Upload File
Dropbox saves the PDF to /DocGen/Output/ with a runtime name.

Extract pages from PDF using Zapier: pull the pages you need into a new PDF with PDF4me

Extract Pages From PDF is a PDF4me action for Zapier that copies a page range out of a PDF into a new file. A five step Zap watches a Dropbox folder, filters for PDFs, extracts the pages you name, saves the result under a traceable filename, and appends a line to a log file.

Pulling three pages out of a sixty page report is a ten second job. Doing it for every report that arrives, forever, is not. The online extractors that rank for this search all assume a human is sitting there picking page numbers. This walkthrough shows the version that runs by itself, with the screenshots and exact field values from a Zap that ran on 02 November 2026.

The flow at a glance
1. New File in Folder
Dropbox trigger watching /ExtractPages/Input/.
2. Filter conditions
Filter by Zapier stops anything that is not a PDF.
3. Extract Pages From PDF
PDF4me copies the named page range into a new PDF.
4. Upload File
Dropbox saves it to /ExtractPages/Output as Extracted-<name>.pdf.
5. Create or Append to Text File
Dropbox appends an audit line to extract-pages-log.txt.

Split PDF by barcode using Zapier: separate a scanned batch into one file per document with PDF4me

Split by Barcode is a PDF4me action for Zapier that cuts one scanned batch into separate PDFs wherever a barcode appears. A six step Zap watches Dropbox, filters for PDFs, splits on a QR code, loops over the resulting documents, and saves each one with its own name and log line.

Scan twenty invoices in one pass and you get one PDF with eighty pages. Splitting it by page number only works if every invoice is the same length, and they never are. A barcode separator sheet solves that: the split happens wherever the barcode is, whatever the page count. These screenshots come from a Zap that ran on 03 November 2026.

The flow at a glance
1. New File in Folder
Dropbox trigger watching /SplitBarcodeAP/Input.
2. Filter conditions
Filter by Zapier stops anything that is not a PDF.
3. Split by Barcode
PDF4me cuts the batch wherever the QR code appears.
4. Create Loop From Line Items
Looping by Zapier iterates the documents that came back.
5. Upload File
Dropbox saves each split document to /SplitBarcodeAP/Output.
6. Create or Append to Text File
Dropbox appends one log line per document.
